Cosplay Wig Commission Process: 9 Steps from Quote to Delivery

Ordering a custom cosplay wig does not need to feel confusing. A clear cosplay wig commission process helps you prepare the right references, understand the quote, confirm important details and review the finished wig before shipping.

Because every commission is made for a specific character and customer, we recommend contacting KOOLLIA about two to three months before your convention, performance or photo shoot. Complex designs and international shipping may require additional time.

This guide explains the complete KOOLLIA custom wig process in nine simple steps. If you are ready to discuss your character, visit our custom cosplay wig commission service or browse the commission wig collection for examples.

The 9-Step Custom Wig Process

Step 1: Prepare Your Character References

Start by collecting clear images of the hairstyle you want. Good references help our team understand the shape, color, volume and structure of the character’s hair.

Please provide:

  • The character name and series
  • A clear front view
  • A side or three-quarter view
  • A back view
  • Close-up images of important accessories or hair details

Use clear, unfiltered images whenever possible. Dark filters, strong color effects and low-resolution screenshots can make color matching more difficult.

Step 2: Send Your Commission Request

Send your references together with the main details of your request. Complete information helps us understand the project and reduces unnecessary messages later.

Include the following information:

  • Character name and series
  • Reference images
  • Preferred wig length
  • Color or gradient requirements
  • Special styling details, such as spikes, curls, ahoge or anti-gravity shapes
  • Required accessories or ornaments
  • Your country
  • Your convention or required delivery date
  • Your approximate budget range, if available

You can send your request to support@koollia.com.

Step 3: Receive a Custom Quote and Timeline

After receiving your information, we review the design, materials, styling difficulty and delivery requirements. We then provide a personalized quote and an estimated production schedule.

The price of a custom cosplay wig may be affected by:

  • Wig length and density
  • Styling complexity
  • Multi-color or gradient work
  • Custom hairlines
  • Anti-gravity structures
  • Handmade accessories and ornaments
  • Required completion date
  • Shipping destination

The final price and schedule are confirmed before production. If you later request a major design change, we will explain any additional cost or extra production time before continuing.

Step 4: Confirm the Order and Measurements

If you accept the quote, the next step is to confirm the order, payment requirements and measurements.

Accurate measurements are important for comfort, fit and scale. Follow the measurement instructions carefully and provide all requested information before production begins.

Production cannot begin until the required measurements and order details have been confirmed. Problems caused by incorrect or incomplete measurements may not qualify for a free remake or refund, so check every number before submitting it.

Step 5: Confirm Colors and Accessories

Before production, we confirm the main wig colors, gradients, ornaments and special design details.

Please remember that colors can look different under indoor lighting, outdoor lighting and different screens. We use reference images and confirmation photos to match the character as closely as possible, but small visual differences may still occur.

This is also the best time to confirm:

  • Gradient placement
  • Hairline style
  • Bang length
  • Ahoge size and direction
  • Hair ornaments
  • Structural supports
  • Removable accessories

Step 6: Custom Wig Production Begins

Once the design, measurements and materials are confirmed, our team begins preparing and styling the wig.

Complex character wigs may require cutting, crimping, layering, color work, structural supports, handmade hairlines or anti-gravity construction. Production time depends on the design and the current workshop schedule.

Because the wig is handmade for an approved design, major changes may not be possible after production begins. Review all confirmed details carefully before giving final approval.

Step 7: Review Production Updates

Some projects require confirmation during production. When necessary, we may send photos or videos at important stages so you can review the direction of the design.

Please keep your email or agreed contact channel available during production. A delayed reply may delay the project when we need your approval before continuing.

Not every wig requires the same number of updates. Simple designs may need fewer confirmations, while complex gradients, accessories and anti-gravity structures may require additional communication.

Step 8: Review the Finished Wig

When the wig is complete, we send finished photos for your review before shipping.

Check the following details:

  • Overall silhouette
  • Front, side and back appearance
  • Bang shape
  • Color placement
  • Accessories
  • Visible structural details

You may request reasonable minor styling adjustments before shipping. Minor adjustments may include small changes to the bangs, temple area or individual strands.

Major structural changes, a new color direction or a different character design are not minor adjustments. These changes may require an additional fee, more production time or a new order.

At this stage, please also confirm your complete shipping address.

Step 9: Packaging, Shipping and Tracking

After the finished wig and shipping address are confirmed, we prepare the wig for transport. Structured and anti-gravity wigs require careful support and protective packaging.

Tracking information is normally provided by email within three to five business days after dispatch. International delivery may take approximately four to six weeks, depending on the destination, shipping method, customs inspections, holidays and peak seasons.

Please read our shipping policy for the latest delivery information.

Important Notes Before Commissioning a Wig

Order Early

We recommend contacting us two to three months before your required date. Complex designs, busy production periods and international shipping can increase the total time needed.

Provide Accurate Information

The quality of your references and measurements affects the finished result. Clear images and complete information help us understand your request correctly.

Understand Handmade Differences

Every custom wig is styled by hand. Small differences in strand placement, color appearance and handmade details are normal. The finished piece will follow the confirmed character references and KOOLLIA’s own styling approach.

Review Changes Before Production

Request major design changes before production begins. Changes requested later may require additional materials, labor and time.

Cosplay Wig Commission FAQ

How far in advance should I commission a cosplay wig?

Contact us about two to three months before your convention, performance or photo shoot. More time may be required for complex designs or delivery to some countries.

What reference images should I provide?

Provide clear front, side and back images. Add close-up images for accessories, gradients, hairlines, curls, spikes or other important details.

How is the price of a custom cosplay wig calculated?

The quote is based on the wig’s length, density, materials, styling complexity, color work, accessories, labor, deadline and shipping destination.

Can I request changes before shipping?

You may request reasonable minor styling adjustments after reviewing the finished photos. Major changes to the structure, color direction or approved design may require an additional fee or a new order.

Do you accept rush commissions?

Rush service may be available depending on the workshop schedule and the complexity of the design. Contact us before ordering and include your required delivery date. Additional fees may apply.

Do you ship custom wigs internationally?

Yes. We ship to supported international destinations and provide tracking information after dispatch. Delivery times vary by country, carrier and customs processing.

What should I do if the wig appears damaged during transit?

Record a complete unboxing video from the moment you open the package until the wig is fully removed and displayed. Contact us promptly with the video and clear photos. We will review the evidence and provide an appropriate solution according to our after-sales policy.

How should I store a custom cosplay wig?

Keep the wig in a clean, dry and ventilated place. Short styled wigs can usually be stored on a mannequin head inside a suitable box. Long or anti-gravity wigs should remain fully supported on a mannequin head or stable stand. Use a loose dust cover and avoid crushing the styled sections.
